These terms get tossed around a lot — and while they’re often used interchangeably, they don’t all mean the same thing. More importantly, some of them are a little misleading. Let’s clear it up.

First, the honest truth:
“Day-of coordination” doesn’t really exist.

No one — and we mean no one — can walk into your wedding day cold and successfully run it without prior involvement. Weddings require preparation, vendor knowledge, timelines, and context. That work must happen before the wedding day.

You may hear the term “Month-of Coordination,” which is closer… but still not always fully accurate either. Coordination is a process, not a single day.

Here’s how the roles actually break down:

1. Wedding Planner (Full-Service Planning)
A wedding planner is involved from the very beginning and stays with you all the way through your wedding day. This is the most comprehensive level of support and includes both planning and coordination.

What a Wedding Planner Typically Handles:
  • Budget creation and ongoing management
  • Vendor sourcing, vetting, and contract guidance
  • Wedding design, vision, and aesthetics
  • Planning timelines (months out and wedding day)
  • Logistics, schedules, and strategy
  • Communication with vendors throughout the process
  • Rehearsal coordination and full wedding day execution
  • Guidance, advice, and decision support at every stage
When This Is the Right Fit:
Ideal for couples who want full support, have complex logistics, larger guest counts, busy schedules, or simply want a professional managing everything.

Typically booked 9–12+ months before the wedding.

Think full-service, start-to-finish support & yes, this typically already includes wedding day coordination.


2. Wedding Coordinator (Partial / Lead Coordination)
A wedding coordinator steps in once the couple has done most of the planning but needs professional support to bring everything together and execute it smoothly. While they may not help select every vendor, they do take over communication, logistics, and leadership as the wedding approaches.
What a Wedding Coordinator Typically Handles:
  • Reviewing contracts and vendor details
  • Confirming vendors and final logistics
  • Creating a detailed wedding day timeline
  • Managing communication leading up to the wedding
  • Coordinating the rehearsal
  • Acting as the main point of contact on wedding day
  • Managing ceremony and reception flow
  • Ensuring the couple, wedding party, and guests have a seamless experience
When This Is the Right Fit:
Best for couples who planned most of the wedding themselves but don’t want to run it. Also great for couples who need a neutral professional to finalize decisions and manage moving parts.

Typically booked 3–6 months before the wedding.

Wedding coordination already includes wedding day execution — no extra hire needed.


3. So… What About “Day-Of Coordination”?
Let’s be very clear.
A true “day-of coordinator” someone who only shows up on your wedding day with no prior preparation is not realistic or effective.

Even packages marketed as “day-of” actually require:
  • Weeks of preparation
  • Timeline creation
  • Vendor confirmations
  • Rehearsal management
A more accurate term is Lead or Month-Of Coordination, but even that varies depending on the level of support provided.

Bottom line:
If someone is coordinating your wedding well, they’ve been involved before the wedding day, period.

What Couples Really Need to Know
  • Wedding planners and coordinators already handle wedding day coordination as part of their services
  • You do not need to hire a separate person just to “run the day”
  • The key is hiring the right team for your needs. Professionals who:

Yes! Every wedding package includes rehearsal management! We’ll coordinate your rehearsal, ensuring that your wedding party and VIPs know what to do and where to go. We’ll run through the ceremony to make sure everyone is comfortable and confident for the big day.

At EventBay, we care deeply about the team that surrounds your wedding day. The vendor team can either make your experience seamless… or stressful. We only allow seamless over here.

You are absolutely welcome to hire your own vendors. However, once you book with us, we will review and vet every vendor you’ve secured to ensure they align with our standards of professionalism, communication, licensing, insurance, and execution.

If a vendor does not pass our vetting process, we will require that they be replaced with someone from our approved vendor list. This protects your investment, your timeline, and your overall experience.

We also maintain a carefully curated, pre-approved vendor list filled with professionals we trust and have worked with successfully.

• For Full Planning and higher-tier packages, access to this vendor list is included.
• For Month/Day-of Coordination clients, access to our approved vendor list is available as an add-on investment.

Our goal isn’t to limit you, it’s to protect you ... always! Your vendor dream team should operate with clarity, accountability, and excellence. We make sure they do.
That depends on the level of support you choose, but no matter the package, we are never just “day-of.”

For Month/Day-of Coordination clients, our official coordination window begins 8 weeks before your wedding. During that time, we step in to get you organized, then review everything you’ve built, confirm vendors, finalize timelines, organize floor plans, identify gaps, and protect your logistics. Think of us as your quality control checkpoint before the big day.

For Full Planning and higher-tier clients, we are involved from 6 months or more. That means strategic planning sessions, vendor selection guidance, budget review, design communication, timeline development, walkthrough attendance, and consistent check-ins throughout your engagement. We manage the moving pieces so you can stay focused on the moments that matter.

Regardless of package, on your wedding day we are fully present; leading vendors, managing the timeline, troubleshooting quietly, and ensuring your vision is executed with precision.

EventBay is structured support. We don’t hover, we lead.
All EventBay coordination collections include assistance with final detail placement on wedding day. This covers things like programs, reserved signage, menu cards, place cards, guest book styling, favors, and other small personal touches that complete your design.

What’s not included in standard coordination packages is full décor installation or full breakdown. That means large-scale setup (arches, extensive centerpieces, draping, ceremony chair placement, moving furniture, etc.) and end-of-night teardown or packing.

If you anticipate needing hands-on support beyond final touches, we can absolutely provide it as an add-on service. This allows us to:

• Schedule additional EventBay staff
• Allocate proper setup and teardown time
• Protect your timeline
• Ensure venue compliance and proper breakdown procedures

We never want you, your family, or your bridal party lifting boxes in formalwear. If extra labor is needed, we plan for it intentionally so your day runs smoothly from start to finish.


Travel within our local service area is included.

EventBay does not charge for time spent traveling to and from venues located within 35 miles of Anne Arundel County (zip code 21060).

For events beyond that radius, a mileage fee is applied for additional miles traveled. If your venue is more than 50 miles (or one hour drive) from our office, hotel accommodations for two nights (typically rehearsal/setup night and wedding night) are required to ensure we are fully present, punctual, and prepared for your event.

For destination or flight-required weddings, clients are responsible for covering airfare, hotel accommodations, ground transportation, and any necessary travel-related expenses. These costs are invoiced separately and must be paid within the timeframe outlined in your agreement.
We structure travel this way to protect your timeline, ensure reliability, and prevent day-of delays. When we arrive rested and close to your venue, you receive our very best execution.

As always, we’ll outline any applicable travel fees clearly in your proposal; no surprises, just transparency.
The collection you chose will determine the start date of my specific work, check the table below for a reference. However, unlike other coordinators who only swoop in a few weeks before the wedding, I get started at least 60 days in advance, or as soon as you sign on with me. I believe in being there for you every step of the way, helping you tie up all the loose ends. No detail is too small, and no question is too silly.

So I'll be available for questions via email from the moment we begin working together, offering guidance, suggestions, referrals, and logistical support whenever you need it. I’ll dive into your wedding plans when your specific contracts start and help you refine your vision, solidify timelines, and keep vendors updated, all while ensuring you stay on track mentally (and emotionally!). So when the big day arrives, you’re not just getting a coordinator who’s there to manage things; you’re getting someone who’s been by your side from day one, ensuring everything runs smoothly, exactly how you envisioned.
