So, you’ve set the date (or at least narrowed it down), created your Pinterest board, and you’re finally ready to tour your first wedding venue, congratulations! But before you fall in love with the view or get swept up in the charm of twinkle lights, there’s one major thing you need to bring along: the right questions.

Your venue sets the tone for your wedding. It affects your date, guest count, vendor options, and even your budget. That’s why it’s so important to go into each tour informed and prepared. Not sure what to ask? We’ve got you covered.

Here’s a comprehensive list of questions to ask on your first venue visit, divided by category for easy reference.

1. Availability & Booking

You don’t want to get attached to a venue that’s not available when you need it.

  • Is my preferred wedding date available?
  • If not, what are your available dates around that time?
  • How far in advance do we need to book?
  • How long is the venue rental period?
  • What time can vendors start setting up?
  • What time does the event need to end?

Pro Tip: If your dream date is booked, ask about weekday options or off-season dates, they’re often more affordable.

2. Pricing & Packages

Venues can vary widely in pricing structures. Some offer full-service packages, while others are more DIY.

  • What’s the total rental fee?
  • What does the rental fee include?
  • Are there different rates for peak vs. off-peak seasons or days of the week?
  • Are there any additional fees (cleaning, overtime, insurance, etc.)?
  • Do you offer payment plans?
  • What’s the deposit amount and when is it due?
  • What is your cancellation or refund policy?

Watch out for: Service fees, security deposits, and hidden costs that may not be listed upfront.

3. Capacity & Layout

Make sure the space comfortably fits your guest count and has everything you need.

  • What is the maximum guest capacity (seated and standing)?
  • Are there separate spaces for ceremony, cocktail hour, and reception?
  • Is there a backup plan or indoor option in case of bad weather?
  • Are there dressing rooms or suites for the wedding party to get ready?
  • Can we rearrange the layout or bring in our own décor?

Think about: How guests will move from one area to another especially older guests or those with mobility concerns.

4. Vendors & Rentals

Some venues are all-inclusive; others require you to bring in everything.

  • Do you have a list of preferred or required vendors?
  • Can we bring our own vendors (caterer, florist, DJ, etc.)?
  • Do you provide tables, chairs, linens, or lighting?
  • Is kitchen or prep space available for the caterer?
  • Are there any décor restrictions (open flames, hanging items, confetti)?
  • Do you provide a venue coordinator or on-site manager?

Clarify: Whether your vendors must be licensed or insured and if the venue needs to approve them in advance.

5. Logistics & Access

These practical questions are easy to overlook but make a huge difference on the day.

  • Is there parking available? How many cars can you accommodate?
  • Is the venue wheelchair accessible?
  • Are there nearby accommodations for out-of-town guests?
  • What are the closest hotels or transportation options?
  • Do you allow early access the day before or cleanup the day after?
  • Are there sufficient restrooms for our guest count?

Bonus Tip: Ask if there’s a loading dock or service entrance for vendors, it helps with smoother setup.

6. Alcohol & Catering

Beverage service can be one of the biggest expenses, so get the details upfront.

  • Do you provide in-house catering or bar services?
  • Can we bring in outside catering or alcohol?
  • Do you require a licensed bartender or security for alcohol service?
  • Is there a corkage or cake-cutting fee?
  • Are there minimums or packages for food and beverage?

Note: Venues that allow BYOB may seem cheaper but sometimes have more restrictions or fees.

7. Noise & Timing Rules

You don’t want a surprise noise ordinance ruining your reception playlist.

  • Are there noise restrictions or curfews?
  • What time does music need to end?
  • Are there restrictions on amplified sound or live music?
  • Can we extend our rental time? What’s the cost?

Reality check: Outdoor venues often have stricter noise rules. Ask in advance to avoid last-minute headaches.

8. Insurance & Permits

It’s not the most glamorous topic, but it’s absolutely necessary.

  • Do you require event insurance?
  • Do you carry liability insurance?
  • Do we need to secure any permits (especially for outdoor venues)?
  • Are there safety or fire regulations we need to be aware of?

Tip: Many wedding insurance providers can include coverage for weather, accidents, and vendor issues.

9. Setup, Staffing & Clean-Up

Make sure you know what you’re responsible for and what the venue handles.

  • Do you provide setup and breakdown services?
  • Are there staff members onsite during the event?
  • Who handles trash removal or post-event cleanup?
  • What are the rules for décor setup and breakdown?
  • Do you require a coordinator or planner?

Smart Move: Even if the venue has a manager, hiring a day-of coordinator can help things run smoothly.

10. Extras & Amenities

These “extras” can add major value or major costs.

  • Do you offer add-ons like décor rentals, lounge furniture, or lighting?
  • Is there Wi-Fi or a sound system available?
  • Are pets allowed?
  • Can we schedule a rehearsal at the venue?
  • Is there a space for vendors to eat or take breaks?
  • Do you have any restrictions on sparklers, fireworks, or send-offs?

Ask for: A full list of amenities or upgrades, some may be included and others available for a fee.

Final Thoughts: Come Prepared and Take Notes

Your first venue tour is exciting, but it can also be overwhelming. Bring a printed version of this checklist, take notes, and don’t be afraid to ask follow-up questions.

Remember, this is your wedding, and the venue plays a major role in how the day feels, flows, and photographs. If something feels off or unclear, trust your gut and keep looking. There’s no such thing as asking too many questions when you’re investing in one of the biggest days of your life.

And one last thing, take pictures and videos during your tour! It’ll help you remember the space when comparing venues later on.
